Who can read your notes, and what happens to them?
Your individual notes are tied to your manager account. That access boundary does not mean the service or its providers never process employee information. Here is how the parts fit together.
Who gets access?
Other managers, employees and organization admins do not get access to your individual notes, transcripts or review drafts through organization membership. Organization administration covers account and billing management.
ManagerForge operates the application and database, and service providers process data to deliver features. Authorized operational access may be needed to support and maintain the service. This is not end-to-end encrypted storage inaccessible to the operator. A consulting purchase does not give Dave access to your private app records; you choose what to share separately.
Where is data stored and processed?
The application is hosted by Vercel. The database and audio object storage use DigitalOcean. Connection traffic uses HTTPS/TLS; passwords are stored as hashes. We do not promise a customer-selected region or independent security certification here.
Anthropic processes meeting notes and relevant context for AI features. Deepgram processes audio for transcription. When configured, Langfuse supports AI observability and can receive prompts and responses for ordinary AI processing. Sensitive-content paths suppress that tracing; do not assume every note is on such a path.
Stripe handles payments, Cal.com handles scheduling when enabled, and Resend delivers email. Optional PostHog analytics stays off unless you enable it using the footer control. You can disable it there at any time. The privacy policy describes the broader service practices.
Does AI train on my notes?
ManagerForge does not use your private notes to train its own models. Anthropic says commercial API inputs and outputs are not used for training by default. Processing and provider retention are separate from model training; this is not a zero-retention promise.
Read Anthropic's commercial data-training explanation. Your employer's permission to use an external AI service still matters. Keep unnecessary personal details out of notes and inquiries.
How long are meetings and recordings kept?
Meeting history follows the plan: Free six months, Starter 12 months, Pro 24 months and Team unlimited history while the account remains active. Scheduled cleanup removes meetings outside the retention window. Export records you need before they age out.
Uploaded meeting audio is subject to scheduled cleanup after 30 days; temporary recording-upload objects have their own cleanup lifecycle. Cleanup is a background process, not an exact-to-the-minute deletion guarantee. Notes, transcripts, recordings and provider processing records are different data sets.
Can I export or delete my data?
Use Settings → Account to export your records or request account deletion. Export options include JSON, CSV and Markdown; what each format contains differs. JSON is the fuller structured export.
Account deletion removes application records and works through recording storage and connected-service cleanup. Some steps can be retried if a dependency fails. It is not a promise of instant erasure from every backup, provider log or required billing record. For a data-handling question, use the contact page with minimal sensitive detail.
Are sessions with Dave confidential?
Dave treats consulting discussions as confidential and uses what you share to prepare and deliver the agreed work. Sessions are not recorded unless you agree. Client stories are not shared publicly without permission.
The initial inquiry and scheduling details pass through email and scheduling providers. Agree any specific confidentiality requirements before sharing sensitive records, and anonymize employee examples. Your consulting discussion is separate from the software account.
