A record for the manager
Private meeting notes, with the next action attached.
Keep each person's conversations and commitments together. Your employees do not need an account, and other managers and organization admins do not get access to your individual notes.
What does private mean here?
Application access is tied to your manager account. A Team plan does not turn private records into an organization-wide feed. Booking a session with Dave does not grant him app access to your notes.
The service still processes and stores data. Hosting providers, AI processing and operational access are different from access by coworkers. This is not end-to-end encrypted storage that the service cannot process. Read the plain-language data answers for those boundaries.
Make the agreement useful next week.
Write the observation, the agreed action, the owner and the next check-in. Keep interpretation separate from the event. At the next meeting, ask what changed before adding another reminder.
A note such as “Sam will add an owner to each open handover item for the next three shifts; I will arrange overlap with the receiving lead” gives both people something to check. “Sam needs to communicate better” does not.
Start small, then decide.
The free plan covers one relationship, two hours of monthly transcription and six months of meeting history. Type notes if you do not need a recording. Follow your workplace's rules and obtain the necessary agreement before recording anyone.
See the notes-to-follow-up example before adding real employee information.
